This Week’s Meeting
John Watkins will again be hosting the meeting. He will answer questions regarding the advent calendar or the regular calendar – demonstrate downloading the PowerPoint Viewer and then talk about the diagnostics program that he didn’t have time for last week.
Downloads at Fun Stuff
John
has placed the template for the advent calendar on his ftp server for you to download (adventjw.ppt). Also a wizard for creating a calendar in Word (calendar.wiz) and the viewer for PowerPoint (ppviewer.zip). You can find all of these at
http://www.hdprint/co.uk/ftp/fun%20%stuff
Advent Calendar
To
use the advent calendar in PowerPoint – download it from John’s site. Next, you will need 24 pictures to place in it
– so you must locate them. Run
PowerPoint and open the advent calendar.
Click on slide 2 – which is blank.
From the top menu, choose INSERT – PICTURE – FROM FILE – then locate the
picture to insert. Then, right click on
the picture and choose ACTION SETTINGS.
Choose to have it hyperlinked back to the first slide by choosing FIRST
SLIDE from the drop down menu.
These steps are then repeated for
each one of the slides (it is very important that you remember to set the
action settings so that it returns to the first slide every time).
It
is also good practice to save your work as you go along – save your file as a
PPS (that’s a PowerPoint SlideShow). When you are finished then you can burn the
file to a CD and send it to family or friends as a Christmas gift. It would be a good idea to place a copy of
the PowerPoint Viewer on the CD for those who do not have PowerPoint on their
computer. You must have either
PowerPoint or the PowerPoint Viewer in order to view the presentation.
Take
a look at how the first slide of the advent calendar was created – then you can
make your own. Notice that each one of
the numbers on the first slide are text boxes. When you right-click on the text box and
choose ACTION SETTINGS, then you can find out how it was done. Basically, it is the same as the other slides
– only this time you hyperlink to a specific slide.
Calendar in Word
When
you are running your calendar wizard, be sure to place a check mark where it
asks you whether you want to save room for a picture. When the calendar comes up, change the VIEW
to allow you to see the entire page. To
remove the picture that they have placed there – click on it (to select it) and
then press the DELETE key on the keyboard.
Notice that this leaves a text box with a flashing cursor in it. To remove the text box, you must click on the
frame itself – and then press the DELETE key on the keyboard.
